How to Reassign Requests in Bulk in Intapp Intake

Overview

There may be occasions where you need to reassign multiple Requests at once—for example, when a user leaves the firm, changes roles, or when items need to be redistributed across the team. Intapp Intake provides a way to complete this in bulk, but it must be used with caution to avoid unintentionally reassigning Requests that do not belong to the selected user.

This article explains how to identify the correct Requests and reassign them safely.


Before You Begin — Important Cautions

Bulk reassignment may pick up more Requests than expected:

  • If sub‑requests exist, and Group sub‑requests is enabled, the main Request may appear even if only the sub‑request is actually assigned to the user.
  • You must carefully review the filtered list before reassigning anything in bulk.
  • Incorrect bulk updates may cause workflow failures, incorrect ownership, or delays in processing.

Step-by-Step: How to Reassign Requests in Bulk

Step 1 — Filter Requests by Assigned User

  1. Navigate to Requests in Intapp Intake.
  2. Select More → Assigned User.
  3. Click the dropdown arrow to search for the user whose Requests you want to reassign.
  4. Select the user and click Apply.

This returns all active Requests currently assigned to that user. 


Step 2 — Select All Relevant Requests

  1. Review the returned list carefully.
  2. Use the top checkbox to select all Requests currently displayed.
  3. Double‑check that no unrelated Requests have been included.

Selecting the top checkbox applies to every Request in the filtered results.


Step 3 — Begin the Bulk Reassignment

  1. At the top-left of the request list, click Assign (xx) where xx is the number of selected Requests.
  2. An assignment pop‑up will appear.

This opens the reassignment workflow for all selected items.


Step 4 — Choose the New User

  1. In the pop‑up window, search for the user who should take ownership of the Requests.
  2. Select the user.
  3. Click Next, then follow the prompts to complete the process.

All selected Requests will now be reassigned to the chosen user.


Best Practices

  • Reassign Requests in smaller batches if you're uncertain about the data.
  • Export the filtered list before bulk updates to retain an audit trail.
  • Communicate with the receiving user to ensure they can manage the increased workload.
  • If in doubt, test the process in UAT or with a single Request before running a bulk action.
