Files Are Being Removed or Deleted From a CMI Request

Overview

Some users may report that files attached to a Client/Matter Intake (CMI) Request appear to be removed or missing before they are reviewed. In most cases, these files have not been deleted. Instead, they have been automatically moved from the CMI Request into the appropriate Client, Matter, or Party record in 3e / Document Management (DM) during data updates.


🔍 Why Files Disappear From a CMI Request

When a Client/Matter is created in 3e

Once 3e successfully creates a Client, Matter, or Party record, the system automatically moves attachments from the CMI Request into the corresponding master record.
This avoids duplication and ensures that the “source of truth” documents live in the correct master location.

Where the files go

Files are typically moved into DM → Matters / Clients / Party → Files, depending on the attachment type.
Users expecting to see files inside the CMI Request should instead check DM.


🧩 Why This Didn’t Happen Before

Whether attachments are moved at the time of Matter creation depends on when they were added:

  • Attachments added BEFORE 3e creates the Matter/Client
    → They are moved immediately when creation occurs.

  • Attachments added LATER in the workflow
    → They are only moved when the next update is sent to 3e.

In short:

Attachments are moved to DM whenever an update occurs in 3e.


🛠️ How to Confirm Attachments Have Been Moved

Step 1 — Check the CMI Activities Tab

The file will appear as removed from the CMI Request.

Step 2 — Check DM

Navigate to:
DM → Matters (or Clients/Parties) → Files
You should see the attachment listed there, for example Conflicts Search.pdf.


📝 Important Notes

  • Files are not deleted; they are moved as part of the integration process.
  • Movement timing depends on when attachments were uploaded relative to 3e updates.
  • This behaviour ensures the correct system of record retains the documentation.
